ACADEMIC REGISTRY

Introduction

The Academic Registry was established as one of the directorates of the then Nautical College of Nigeria in 1979. In 1988, the Nautical College of Nigeria, Oron was upgraded to her present status by Decree No. 16 of 1988.

During the recent restructuring of the Academy the nomenclature of the directorate was changed to Academic Registry Department.

The Academic Registry was established to manage and keep all the academic records of both cadets and students of the Academy to the satisfaction of the end users. It is also saddled with the responsibility of co-ordinating all examinations at various levels and the issuance of certificates in the Academy. In order to meet with her responsibilities, the department developed her vision and mission statement as follows:

MISSION STATEMENT:
To consistently provide to the Maritime Academy of Nigeria, accurate, up-to-date and dependable records of Maritime Education and Training.

VISION STATEMENT:
To be recognized as an excellent co-ordinating organ and reliable data base for the Academy.

FUNCTIONS OF THE ACADEMIC REGISTRY
The Academic Registry is responsible for:

  1. Administration of all examinations in the Academy (Regular and Short courses)
  2. Facilitation of all Certifications
  3. Facilitation of Admission processes
  4. Custodian of Examinations and all Academic Records
  5. Placement of Cadets on Students Industrial Works Experience Scheme (SIWES)
  6. Cadets/Students’ Academic Welfare
  7. Facilitation of National Youth Service Corps (NYSC) matters
  8. Custodian of Cadets/Students Enrolment Statistics
  9. Responsible to the Registrar for day-to day running of the Academic Registry
  10. Any other functions as may be assigned by the Registrar.

UNITS OF THE ACADEMIC REGISTRY

The Academic Registry is sub-divided into four (4) basic units namely:

  1. Cadets Affairs Unit
  2. Certificates and Mandatory Unit
  3. Examinations and Records
  4. Students’ Industrial Work Experience Scheme (SIWES)

CADETS AFFAIRS UNIT
The Cadets Affairs unit is saddled with the following responsibilities:

  • Liaise with the Regimental Unit Commander for orientation of cadets as well as students
  • Incharge of Cadets/Students aid e.g Scholarship, Grant, Insurance, Excursion and drug scheme
  • Provides secretariat for Cadets Disciplinary Committee
  • Academic guidance and counseling for cadets and students
  • Process cadets/students Academic request e.g Recommendation letters etc
  • Responsible for the cadets/students academic welfare
  • Verification of cadet ordinary level results
  • Provide secretariat for Academic Board meetings
  • Liaise with organizations for recruitment of cadets
  • Sevicom Nodal Officer for the department
  • Any other duty that may be assigned from time to time by the HOD(AR)

CERTIFICATES AND MANDATORY UNIT

The underlisted are the schedule of duties performed by the certificates and Mandatory unit:

  1. Calligraphic writing of Certificates
  2. Applying for blank certificates for all short and regular courses
  3. Forwarding of all written certificates for endorsement
  4. Screening of cadets personal files for certification
  5. Verification of certificates for institutions and companies
  6. Studying and responding to all matters on replacement of certificates
  7. Responsible and writing of monthly reports from the certificate unit

EXAMINATIONS AND RECORDS UNIT
The functions of the Examination and Records Unit include:

  1. Preparation of General Examination Time Table
  2. Arrangement of Examination Venue
  3. Preparation of invigilators list for the smooth conduct of examinations
  4. Preparation of statement of results and academic
  5. Certification of adequacy of cadets/students file records before any certificate or notification of result is issued
  6. Production of cadets/students notification of results for endorsement by the HOD
  7. Liaise with Academic Departments and relevant units on issues relating to cadet academic records and examination
  8. Issuance of notification of result
  9. Forwarding of Academic Transcript to appropriate unit for dispatch
  10. Supervision of stamping and numbering of examination scripts for security purposes during examination
  11. Incharge of all cadets/students records within the unit
  12. Any other duties that may be assigned by the HOD.

STUDENTS INDUSTRIAL WORK EXPERIENCE SCHEME (SIWES)

The primary functions of this unit are:

  1. Canvassing for vacancy in the industry for the placement of Cadets
  2. Placement of cadets for the Mandatory 4 months SIWES
  3. Co-ordinating the supervision of cadets while on SIWES
  4. Writing of SIWES Report to management
  5. Supervision of Cadets documentation of SIWS Log Book
  6. Facilitation of payment of SIWES Allowances to cadets
  7. Liaise with Industrial Training Fund on matters affecting SIWES
  8. Keeping custody of SIWES documents
  9. Advising the HOD and SIWES matters
  10. Any other duties assigned by the HOD.

H. Facilities in the Department
Academic Registry’s main functions are administrative in nature, therefore, apart from office equipments, furniture and files the department is assigned a section of the administrative block for it offices.

RECTORATE

The Rectorate is Academy’s seat of Administration, with the Rector as the Chief Executive Officer and the approving authority.  All other Directorates, Schools, Centres and Departments are answerable to the Rector.  The Rectorate also coordinates Academy’s relationship with sister Parastals and other relevant Agencies/Institutions in facilitating the Academy’s programmes and projects

MISSION

To provide the Academy with qualitative service that builds, uplifts and sustains the Maritime Industry.

VISION

To set the pace in quality service delivery and sustain the Academy as reference institution in Maritime Education and Training.

FUNCTIONS OF THE RECTORATE

The functions of the Rectorate consist of the various functions performed by the departments and units under it.  In addition, the Rectorate interfaces with relevant internal and external organizations in the overall interest of the Academy, the Maritime Industry, the host communities and the nation at large.  It also oversees the security network of the Academy in collaboration with the Regimental Unit Comander.

FACILITIES

Facilities in the Rectorate include office furniture and equipment in addition to some special tools as in the case of the Public Relations Department.
